Peak season accounting

Peak season accounting: what breaks, and why

Peak season does not introduce new problems into a brand’s numbers. It multiplies the ones already there, and it does so in the month whose results everyone will be asked to explain.

Four things break in a predictable order.

Cost accuracy. A unit cost that is slightly wrong barely registers at normal volume. At four or five times the volume it moves the margin on every order. Brands carrying an average or a typed-in standard cost are the most exposed, because the error is already in the number before the season starts.

Term definitions. Nearly every peak order carries a discount. When the storefront, the payment processor and the accounting system each define discount slightly differently, the disagreement scales with order volume and hides inside totals that look plausible.

Stock counts. Bundles pull from component inventory. Wholesale ships alongside direct. Returns begin arriving before the season ends. The gap between the system and the shelf widens fastest in the weeks when nobody has time to count.

Cash timing. Inventory was paid for weeks before the season. Ad spend goes out daily. Marketplace payouts arrive on each channel’s own schedule, net of fees. A bank balance in early December says very little about January.

What to do about it before it starts

Get cost right first, because everything downstream inherits it. Confirm that bundle and kit components deplete stock when the bundle sells. Know each channel’s payout timing and fee rate before the volume arrives rather than after. And decide which three numbers will be watched weekly: margin by channel, stock on hand for top sellers and shared components, and cash against committed purchase orders.

Focal is built so those numbers exist without assembling them. Cost comes from purchase orders, landed cost and bills of materials, orders carry their own fees and discounts, and the ledger posts as events happen.
